IMPORTANCE OF RECORDS
All our efforts, time and money spent will be wasted if at the end, the pioneer pastor does not have a functional record of his members. It is like going out to fish, having a big catch, but placing the fishes in a basket with holes. In SOS, we are using the Individual Progress Report (IPR Form) to record all information about each contact and convert.

VALUES OF THE IPR FORM

  1. Helps Lead group in evaluating every contact-convert and in recommending the best action for follow-up.
  2. Helps FD to know what topics to address in the daily training session with the team.
  3. Helps FD in determining the concentration of the team's effort for the day. Example: If reports show very low turnout of good contacts, FD can plan for additional days for contact activities. If reports show a lot of contacts-converts being hindered, the FD will lead team to intensify prayer and intercession for the people.
  4. Provide SOS team information for choosing potential leaders and helpers for the PW.
  5. Most valuable tool for the Pioneer Worker:
  6. To help him plan and prepare for his goodwill visits.
  7. To help him do accurate follow up work when the team pulls out. The report tells the final status of each contact-convert so the PW can avoid duplicating what the SOS volunteers already did.
  8. His acquaintances with their needs, previous responses and decisions through the records will increase the PW’s acceptability among his new members.
  9. The IPR forms will serve as the initial record of members and potential members.

GUIDELINES IN USING IPR FORM

  1. CUSTODY. To avoid loss, the IPR forms are in the custody of the Team Scribe. The volunteers do not bring the forms with them to the field. They will need a small notebook on which they will temporarily record results of their work.
  2. DAILY RECORDING. The squad scribes and team scribe accurately and neatly transfers all relevant results of the fieldwork in the IPR from the volunteers' notebooks. The Team Scribe should strictly oversee this work and the FD should designate a time slot in the daily work schedule for this.
  3. DAILY EVALUATING. At the end of the daily work, the FD with his lead group evaluate the reports to determine activities, work concentration, priority visits, assignments, and training content for the next day.
  4. SUMMARIZING. At the end of the SOS work, all information recorded about each person will be summarized and his/her final status determined.
  5. TABULATING RESULTS. Each IPR will be considered in determining the figures asked for in the FD report form (see FD Report Form).
  6. ARRANGING. The IPR forms are to be arranged alphabetically or geographically for easy reference.
  7. TURNING OVER TO THE PW. All the IPR forms are to be turned over to the PW in bound form along with a copy of the FD report form and lists of core group members, people baptized in water and Holy Spirit, BS facilitator­s, BS hosts, etc.
